5 tips for building a chatbot knowledge base that actually works

A chatbot is only as good as what you give it to read. Before you upload a 40-page PDF and hope for the best, here are five things that consistently improve answer quality.

1. Write for retrieval, not for humans skimming a page

Break long documents into focused sections with clear headers. A model pulling context from a wall of text performs worse than one reading five well-labeled paragraphs.

2. Keep one source of truth per topic

If your pricing page and your FAQ disagree, your bot will pick one at random. Reconcile conflicting docs before uploading them.

3. Update stale content immediately

Outdated policies are worse than no policy at all โ€” they produce confident, wrong answers. Treat your knowledge base like production code.

4. Use plain language over jargon

Assistants generalize better from clear, simple phrasing than from internal shorthand only your team understands.

5. Test with real customer questions

Pull actual support tickets and run them through your bot's live demo tab before going live. It surfaces gaps no amount of guessing will.
